What to Expect

While we do accept same day reservations, it is recommenced to book your appointment in advance  to assure you receive the treatment you want and the preferred time.   To accommodate your desired appointment a credit card is required at the time of booking to guarantee your reservation. The card is not charged at this time and we do require to swipe the card at the time of check out. We hold this information as part of our cancellation policies.  If you are planning on paying for a service for another guest please call the spa prior to their arrival in order to verify card information.

*Please notify the spa of any allergies or sensitivities to aromas or ingredients when you schedule your appointment.  
 

Although we offer planned spa packages for your convenience, you are welcome to combine any of our spa and salon services for a custom package that meets your needs. 

ONLINE BOOKING

Online booking may not be available during holidays and may require you to call the spa directly to book an appointment.  Online booking does not guarentee a specific room.  If you are booking a couple massage or treatment, please call the spa to ensure you will be in the same room. Online booking adheres to the same policies as other bookings.

We ask for your email address to send you a confirmation of your services to review and a reminder email 24 hours prior.  Text messages are also available.

We request that you arrive 20-30 minutes prior to your scheduled appointment.  First time guests are asked to fill out intake forms for the therapists to know a bit about you. Early arrival allows you to relax before your treatment and assures the maximum time in your service.  Robes are provided with 2 or more services, are available in each treatment room or upon request.

Should you run late for your reserved treatment, please notify us. We will certainly do our best to accommodate your treatment, although it may need to be shortened to ensure we remain on time for following guests.   

While we offer wonderful services and use top grade products, please note the space does not allow for saunas, steam rooms or showers. Warm towels are available after your service. You are welcome to sit and relax in the lounge after your treatment, enjoy a meal at Restaurant 1915 or take in the scenic view of the outdoor park.

Your spa treatments are reserved especially for you. We value your business and ask that you respect the spa's scheduling policies. Should you need to cancel or reschedule, please notify us at least 48 hours in advance.

 Any cancellations with less than 48 hours of notice are subject to a cancelation fee amounting to the cost of the scheduled service.  Clients who miss their appointments without giving any prior notification will be charged in full for the scheduled service. We recognize the time of our clients and staff is valuable and have implemented this policy for this reason. When you miss an appointment with us, we not only lose your business, but also the potential business of other clients who could have scheduled an appointment for the same time. Additionally, many times our staff will be functioning  "on call" and can have travelled to the spa specifically for your service. For these reasons we are obligated to compensate our staff for their time as well as make up for the lost revenue.

When you schedule your appointment with us, you are agreeing to these policies. All services require a credit card or gift certificate to guarantee a reservation so please have your credit card and/or gift certificate ready when booking. You will not be billed unless there is a cancellation or no show. Upon checkout, guests may choose their method of payment.  (Bridal parties please see bridal page for cancellation policies)

If you are a hotel guest and need to cancel your room reservation, this does not cancel your spa appointment.  Please call the spa directly to cancel your reservation.

For any group booking 8 services or more, we require a 10% non-refundable deposit.  The remaining balance will be due the day your services are scheduled. We ask that if you need to cancel any of your reservations, that you do so as early as possible but no later than 7 days prior to the event.  (For bridal parties, please refer to bridal page)

Parking is now free for spa guests.  Please show the parking attendant your appointment (on your phone) and the parking fee will be waived.

We accept cash, gift certificates, room charge for hotel guests and all credit cards (Visa, Mastercard, Discover, Amex).  We do not accept private checks. Please note, in an effort to combat rising prices and credit card fees, we will be adding a 4% service charge to orders.  If you pay with cash, the service fee will be removed.

Gratuities, although not included in our pricing, are greatly appreciated customary tipping runs 18% to 20% but is, of course, at your discretion. You may tip the therapist in the room or upon check out at the front desk with cash.  Gratuities may not be charged.  Please note parties of 5 or more will have a 20% gratuity added to the final bill.

Bear Mountain Spa gift certificates/cards may carry a balance and do not have to be used in one visit. You may use it for the value of the card prior to the expiration date for spa services.  Outside certificates (spa week) may not be used towards salon services or products and are a one time use (as per rules of spa week).  Any balance or excess remaining on the outside card will not be able to be credited to the client . We are unable to process any returns or reimburse any payment transactions on gift certificates even if lost, misplaced or stolen, please treat them as you would cash . Gift certificates/cards cannot not be used to purchase other gift certificates/cards or used for gratuity.  Bear Mountain Spa gift certificates are valid for 2 years after the purchase date.  Please note that at this time we cannot accept gift cards or certificates for any medical services (microneedling). Discounts may not be applied to gift certificates.

We recommend when booking 2 or more services or any packages to call in order to ensure they are timed properly.  Online booking does not guarantee a particular room .  If you want to ensure a couple service, please call the spa.  Groups of 3 or more should call to book appointments to make sure everyone is booked at the same time.  There are limitations to online booking so if you don't see what you are looking for, give us a call.  

 We kindly ask that you turn your cell phones and pagers to vibrate upon arrival and to remember to speak in your very soft spa voice once you enter the spa. Please inform your therapist should you need to make a phone call so that you may do so without disturbing other spa guests. Cell phone use may affect the length of your spa services.
